We accommodate both electronic and handwritten medical records. We are capable of handling records with a mix of English and German, large-volume files exceeding 1,000 pages, and the deciphering of difficult-to-read handwritten Japanese.

We accept requests for quotations for either hard copies or electronic data. Please send us your documents when requesting a quote.

IMIC has acquired the PrivacyMark certification. We have established a robust system for handling sensitive personal information and take every possible measure to prevent data breaches. We strictly maintain the confidentiality of your documents (we can provide a Non-Disclosure Agreement).

Can I specify the sections of the document to be translated?

Yes, you can specify the target sections when placing your request. If no sections are specified, IMIC will take on the initial task of identifying the sections requiring translation *.

* We target terms that appear to be written in English (the Latin alphabet).

Can you handle difficult-to-read handwritten medical records?

Yes, we can. Upon request, we offer not only the translation of English sections but also the deciphering (transcribing) of handwritten Japanese sections*.

*An additional fee applies for transcribing Japanese sections.
*Depending on the condition of the handwriting, some text may remain illegible even after review by a physician.
*This service aims to make the medical records readable in Japanese through translation and transcription; it does not include medical commentary or explanation of the contents.

Can you translate foreign-language medical records issued for treatments received overseas?

Yes. Medical records / charts issued in languages other than Japanese by overseas medical institutions are translated by licensed physicians or translators with specialized knowledge in medical translation. We will assign the most appropriate translator, so please send the documents through a representative such as a law firm.

I am the patient. Can I request a translation directly as an individual?

We apologize, but we do not accept requests directly from individual patients. Please submit your request through a law firm or a similar representative.

If I send the medical records as electronic data, is it possible to receive the translated documents as printed hard copies?

We accept both printed copies and electronic data, but as a general rule, we deliver the translation in the same format as the original document provided at the time of the request. If we receive the original document as electronic data, we will deliver the translation as electronic data. Upon request, we can deliver the translation in a format different from the original document (electronic data or printed copies), but an additional fee will apply.

If I mail photocopies of medical records, is it possible to receive the translated documents as electronic data?

We accept both printed copies and electronic data, but as a general rule, we deliver the translation in the same format as the original document provided at the time of the request. If we receive the original document as printed copies, we will deliver the translation as printed copies. Upon request, we can deliver the translation in a format different from the original document (electronic data or printed copies), but an additional fee will apply.
