IMIC Gakkai Management System (IGMS)

A membership management system is a system that allows for the secure and efficient centralized management of member information.
IGMS is an IMIC-original membership management system designed specifically for academic organizations. It was developed with the involvement of administrative staff from academic organizations for which the IMIC provides services, and it enables the centralized management of membership administration—a core function of administrative operations.

Our standard package for general membership management can be enhanced with optional features—such as election and voting management, certification management, and questionnaire functions—to meet the diverse needs of academic organizations, enabling centralized management of administrative operations.

FLOW

Implementation Flow of IMIC Gakkai Management System (IGMS)

  1. 1 Application for a Trial Version
    We will send you a login ID and password for the trial version (with standard features) enabling you to try out the IGMS user environment for one week.
  2. 2 Introduction to the Demo Version
    After you have tried the trial version, we will provide you with a demo version equipped with various optional features.
  3. 3 Presentation of the Demo Version
    Upon request, a representative will introduce IGMS to you via an in-person or online presentation of the demo version.
  4. 4 Proposal and Quote Preparation
    After discussing your requirements, we will propose a feature plan along with a quote.
  5. 5 Application and Contract
    If the proposed plan and quote meet your needs, we will send you an application form. Upon receipt of the application form, we will proceed with the contract process.
  6. 6 Data Transfer
    We will transfer the members' data we have received to IGMS.
  7. 7 Implementation
    We will send you the login ID and password for the full production environment, and operations will begin.

Feedback from Our Clients

  • Before using IGMS, we managed everything using Excel spreadsheets. Now we can respond quickly to inquiries and handle operations efficiently, so we are very satisfied.
  • Since members can log in to the member page to obtain passwords and generate invoices and receipts, the time and effort required by the administrative office to create and send these documents has been drastically reduced compared to before we started using IGMS.
  • We handle certification procedures. Previously, we received and verified applications on paper.
    Since we started using IGMS, the process has shifted to electronic applications, and we no longer handle paper documents.
  • Since members register their own information, we no longer have errors in new member data entry, which used to occur when transferring information from paper to Excel.
  • Previously, the process of requesting votes and counting ballots for board elections was paper-based and time-consuming. With IGMS, we were able to use the questionnaire tallying feature, reducing the burden on both members and administrators.
